Procedure for Supervising a Thesis
- Students choose their own advisor and agree on a thesis topic with them, or sign up for a posted topic. Advisors can post topics here.
- Once a student has met the attendance requirements for the Bachelor’s/Master’s Seminar course and has been assigned a thesis topic, they may be awarded credit. The Vice Dean for Academic Affairs determines whether a student has met the attendance requirements; the Vice Dean automatically sends an email to supervisors during the exam period.
- Once attendance requirements are met and the thesis assignment is entered into UIS, the student can be awarded credit for the Bachelor’s/Diploma Seminar. The credit is awarded by the thesis advisor. The credit is awarded in the semester in which the thesis assignment was entered into UIS for the student. If the student has met the attendance requirements for the seminar but has not yet arranged for a thesis advisor, or if other circumstances prevent the student from having the assignment entered into UIS by the end of the exam period, the student must re-enroll in the Bachelor’s/Master’s Thesis course. In exceptional cases where the advisor forgets to enter the credit or enters it as a “minor credit,” the Registrar’s Office may retroactively enter the credit. In this case, only the thesis advisor—not the student—should contact the Registrar’s Office no later than July for the summer semester or February for the winter semester.
- The thesis proposal is entered into the UIS by the thesis advisor; the proposal must be completed in full. The thesis advisor is required to initiate the approval process no later than the eighth week of classes in the semester preceding the semester in which the student plans to defend the thesis.
- The thesis proposal is approved in UIS by the thesis advisor, then confirmed by the student, and subsequently approved by the head of the department to which the thesis advisor belongs and by the program director of the student’s degree program. These individuals may reject the thesis proposal and return it for revision or supplementation. The complete thesis proposal—that is, one approved by all parties—must be submitted to UIS by the end of the add/drop period for the semester (this date is approximately 14 days after the start of classes) in which the student intends to defend the thesis.
- If the thesis advisor wishes to change the proposal, all approvals must first be revoked; only then can the proposal be deleted and a new one created.
- If a student in the Czech program is writing a thesis in Czech or Slovak, the thesis proposal is in Czech; if a student in the Czech program is writing a thesis in English, the thesis proposal is in English. A student in the English program has both the thesis and the thesis proposal in English. The submission date is only an estimate; there is no need to modify the thesis proposal if it changes.
- The student should actively consult with the advisor and follow the advisor’s instructions. The advisor should maintain ongoing oversight of the student’s work and be aware of the student’s progress. If the student fails to follow the advisor’s instructions or does not consult with the advisor, the advisor may assign a “fail” grade to the student.
- Students in a Czech-language degree program may write their thesis in Czech, Slovak, or English. Students in an English-language degree program may write their thesis only in English. The thesis defense is always conducted in the language of the degree program; the language of the thesis itself is irrelevant. An exception is Slovak for Czech-language degree programs.
- Students must submit their thesis electronically via UIS only. The deadline for submission to UIS is set by the schedule for the relevant semester.
- The thesis advisor awards the student credit for the course “Bachelor’s/Master’s Thesis.” Credit may only be awarded if the thesis advisor is convinced that the thesis meets the quality requirements for a university-level academic paper. If the advisor is not convinced that the student’s thesis can pass the defense, they will not award credit; instead, they will enter “No Credit.” A credit may therefore be awarded only if all individual aspects are evaluated with a grade of at least E in the thesis advisor’s assessment.
- If the advisor assigns an F in the assessment, the course will be graded as “fail.” Simply submitting the thesis by the deadline is only one component of the evaluation; the thesis must, above all, meet the quality requirements.
- If a student submits a thesis of poor quality, the advisor will return the thesis via UIS for revision and enter a “fail” grade. The student must then re-enroll in the “Bachelor’s/Master’s Thesis” course.
- A passing grade can only be entered after UIS verifies the originality of the thesis—the advisor receives a notification via email. The advisor must always review the similarity report, regardless of the percentage indicated in the system. When assessing the originality of the thesis, attention must also be paid to other indicators that could suggest that the thesis or a part of it was written by someone other than the student who submitted it. These include, for example, grammatical gender, inconsistent formatting, inconsistent writing style, inconsistent language level, the use of unusual terminology, and a clear discrepancy in the quality and style of the work compared to the student’s previous work, etc.
- Students must submit their papers exclusively in electronic form via UIS. In addition to the body of the paper, the submission must include formal requirements such as the assignment and a precisely worded affidavit, which must be included in the paper unsigned. The assignment itself is not to be included in the body of the paper.
- If the assignment was created before the electronic approval system was implemented, it must be re-created so that it is in electronic form.
- The advisor is responsible for the formal correctness of the thesis. The deadline for submitting the thesis is specified in the schedule for the relevant semester.
- A thesis that does not meet the formal requirements may not be evaluated by the state examination committee.
- The thesis supervisor shall arrange for a thesis reviewer in consultation with the department chair. The thesis reviewer must be appointed by the department chair.
- Both the reviewer and the thesis advisor shall prepare their reviews of the thesis to the best of their knowledge and belief. The thesis advisor is responsible for ensuring that both the advisor’s and the reviewer’s reviews are uploaded to the UIS in a timely manner. The reviews must be uploaded to the UIS no later than 7 calendar days before the defense. Printed copies of the reviews are not to be submitted.
- If the thesis advisor suspects that the submitted thesis is not original, they shall discuss this with the department chair or, if necessary, the associate dean for academic affairs. If unintentional plagiarism of a minor nature is discovered in the thesis, the advisor shall lower the grade and note this fact in the review.
- If intentional plagiarism is discovered in the thesis, the advisor will not recommend the thesis for defense, will not award credit for the course related to the thesis, and will also submit a request to the dean to initiate disciplinary proceedings.
- If such plagiarism is discovered only during the state examination, the thesis will be graded as unsatisfactory. The chair of the committee or a person authorized by the chair is responsible for forwarding this information to the relevant vice dean for academic affairs.
- The committee may nominate an exceptionally high-quality thesis for the Dean’s Award. This award also includes a monetary prize. In their review, the advisor may recommend to the committee that the thesis be considered for the Dean’s Award. The decision is at the committee’s discretion.
- If a student fails to successfully defend their thesis, they must contact their thesis advisor and inform them of this fact. The advisor will immediately return the thesis to the student via UIS for revision. They will then jointly determine the extent to which the thesis needs to be revised and whether the thesis assignment itself needs to be modified. The Student Affairs Office can provide the student with a copy of the defense minutes. Once the student wishes to upload a new thesis, they must first delete the original version.
- If intentional plagiarism in the thesis is discovered only after the thesis defense, the person who discovered the plagiarism shall file a motion with the dean to initiate proceedings to declare the state final examination invalid.
- A student who fails the state final exam continues their studies with student status; their studies are no longer suspended. They do not enroll in any courses except for the course “State Final Exam.” However, they may request a suspension of studies to avoid potentially having to pay fees for an extended period of study.
- Students may take advantage of the option to defer the publication of their thesis. Although the thesis is uploaded to UIS, all or part of it may be withheld from publication for a maximum of 3 years. To defer publication of the thesis, the student must submit a request to the Registrar’s Office no later than 30 days before uploading the thesis to UIS; the request may be submitted once the thesis topic has been approved in UIS. In the request, the student must provide a proper justification for deferring the publication of their thesis. The thesis advisor will then review this request, and the dean will approve it. Furthermore, the student must physically submit three copies of the thesis (one of which is sent to the Ministry of Education, Youth, and Sports). This is a more time-consuming process, so the request must be submitted well in advance. All thesis submission deadlines apply even to theses subject to the deferred publication policy..
- A paper that has already been submitted to UIS and for which the deadline for submission has passed cannot be edited. If a serious error is discovered in the paper or if the printed version does not match the electronic version, you may use the ERRATA feature to correct it. The student fills out the form, inserts it into the printed copies, and uploads it to UIS. An errata is not intended for correcting spelling errors. However, it can be used to correct errors that occurred during printing or to include the correct format for the affidavit.

- If a student wishes to change their thesis advisor, they must first reach an agreement with the new advisor and also notify their current advisor of this change. The student then submits a request through the Contact Center; the new thesis advisor must always provide their input on the request. The Registrar’s Office will then make the change in UIS. The new advisor must always review the thesis proposal.
These guidelines are based on the Academic Regulations and on current regulations, directives, decrees, and decisions of the dean or rector, which are posted on the official bulletin board. They have undergone the approval process of the vice dean for academic affairs and the dean.

The thesis advisor will always assign the thesis after the student has entered the thesis assignment in UIS and has met the attendance requirements for the course.
